Call to Order:
Carol Diedrichs called the meeting to order at 11:10 a.m.
Introductions:
All members introduced themselves.
Minutes from Previous Meetings:
Laurene moved to approve the minutes as corrected from the November 11th meeting. The motion was seconded by Elsie and unanimously approved.
Executive Director's Report:
- Anne distributed a financial update.
- The Speakers' Bureau set-up is on Glen's schedule for the Spring. We will begin gathering data in a few weeks.
- The negotiations are nearly complete with NetLibrary. The new deal is in place with EKU, WKU, Murray State and NKU participating in a shared collection. Several GCLC school members also bought a shared collection.
- Anne distributed flyers from Facts on File.
- Anne was contacted by Lorman Education Services to present a discount to the SAALCK libraries. Anne distributed sample workshop books.
- GCLC is participating in a grant to study library delivery services on a national level.
Lunch Break
Future Workshops:
- Carol contacted ARL with a letter of gratitude about the workshop done for SAALCK. ARL is reconsidering the types of training that they are developing. There is an ARL Board Task Force to determine what leadership development training ARL will provide. There may not be workshops such as this available from ARL in the future.
- Carol has not explored the idea of a “Marketing the Kentuckiana Digital Library” conference yet, but will for the next meeting.
- Anne is exploring the topic of Institutional Repositories as a pre-conference to KLA or KHECC.
- Carol has contacted Karen Calhoun at Cornell about presenting information on the future of the catalog and integrated library systems either the week of February 27 or March 6. Carol would like help in planning the day. Elsie will work with Carol on the details.
- The Collection Development Workshop has been scheduled for April 24-25 in Lexington and April 27-28 in Cincinnati. Many details still need to be worked out with ALCTS.
KYVL Endeavor Consortium Update:
- Elsie reported that the KYVL Endeavor Consortium Group is looking into what other consortia are doing regarding their hosting of servers. Elsie has not talked to them yet about expanding their charge. Carol has provided Enid at KYVL with the SAALCK positions on this issue.
Report from Collections Committee:
- Mary Beth reported on the progress of the Committee. They are using the discussion list to communicate on negotiations and approvals. The Wilson contract is complete and everyone should be receiving the bills soon. The Committee is now looking at new deals to consider as they are brought up on the list.
- The EPSCOR (Experimental Program to Stimulate Competitive Research) information has been submitted and Kentucky is signed up to participate at the fee of $2,000 per year. UK will pay this fee the first year. Within this is the ESIG (EPSCOR Science Information Group) library component. More information will be available after ALA mid-winter. The group will be negotiating consortial contracts with a variety of serials vendors in the sciences.
Last Copy Policy and Possibilities:
- This will be discussed at the next meeting.
Cost Models for GCLC Fee:
- Carol presented four models as examples for a new cost structure for distributing the administrative fee currently paid to GCLC. The group discussed the various models. Most seemed to prefer method 3 (Tiers using FTE). The proposal is: Tier 1 is UK and UofL; Tier 2 is WKU, EKU, and NKU; Tier 3 is Morehead and Murray; Tier 4 is KSU and KCTCS. Carol will continue to calculate and come back to the group with additional details. Right now, the formula will be used simply to cover the administrative fee.
Announcements:
- UK is expecting the announcement of a new Provost soon. The Halberstam lecture event was a tremendous success. The UK Libraries received a portion of the Instructional Infrastructure Fund to convert the lower level of the Young Library into an information commons. UK is doing a reference redesign workshop called “Next Generation and Beyond” on May 15 with Joe Janes from the Library School at the University of Washington and Crit Stuart from Georgia Tech. GCLC will be running registration. UK librarians will register first and then all others will be invited.
- Western is renovating the second floor of the main library. This is new space for the library that will be made into the visual and performing arts collection. Renovation should be complete by the fall. Western is celebrating its centennial this year. There is an exhibit in the museum opening January 22. On January 18, there will be a major reception in Frankfort in conjunction with Eastern that is also celebrating its centennial. The One Book community outreach project is kicking off in January. Western will be celebrating Black History Month with a poetry event featuring Frank X. Walker.
- Hannelore was excited to report that the library addition at UofL is nearing completion. The Elizabeth I exhibit is running until February. Since the library is open to the community, they receive a huge amount of traffic. Due to that, they are constantly going through renovation and upkeep. The campus is implementing the Fish staff training program and the library is participating.
- Eastern has two open reference positions that were recently posted. The library is putting together a new wireless library instruction lab. Eastern is contemplating purchasing an electronic content management system and is interested in sharing thoughts with others about it. Carrie is also studying their distance education services to decide how to provide the services going forward.
- Arne reported that the Library Staff Certification program developed in conjunction with Bluegrass Community College is going very well. NKU just received a major gift from a donor in the northern Kentucky area that will enable them to remodel the archives. The University held an author presentation by Ron Ellis with about 300 people in attendance. Arne described the new approach to serials purchasing they are using at NKU. Two staff at NKU are working through a grant to develop the first jail library in the country at the Kenton County Correctional Facility.
- Laurene has started meeting with the architect to begin discussing the renovation plan for the library at Murray State.
- Elsie reported on a visit she and her administrative staff at Morehead State made to EKU to study what happens in their office. The library is starting a book discussion group this month.
- Sheree reported on some things going on at Jefferson Community and Technical College including staff development and the integration of the computer lab with the main library.
- Susan Brown reported that one AICKU member has a new director. Karen Chafin is now the director at Pikeville College. AICKU has a new member, Mid-Continent College.

The next meeting date is February 10, 2006 at the University of Louisville.
